Acceptable Use Policy

Effective October 3, 2026

This Acceptable Use Policy ("Policy") sets the rules for using the services of John Thomas D.B.A. JT Networx ("JT Networx", "we", "us"): our website (jtnetworx.com), the TrackAll application, the JT Networx Account Alerts text messaging program, and the networks, devices, accounts and systems we install, manage or support for clients (together, the "Services"). It also explains how we use AI tools and where information is stored. This Policy is part of our Terms & Conditions and any service agreement you have with us. If a signed agreement conflicts with this Policy, the signed agreement controls.

1. Prohibited uses (all Services)

You may not use the Services, or help anyone else use them, to:

  • Break any law or regulation, or infringe anyone's intellectual property, privacy or other rights.
  • Access, or attempt to access, any account, system, network or data without authorization.
  • Scan, probe, penetration-test or load-test the Services without our prior written permission.
  • Upload, store or distribute malware, ransomware, phishing content or other harmful code.
  • Send spam or unsolicited messages, or impersonate any person or organization.
  • Harass, threaten, defraud or harm others, or store or share content that exploits minors.
  • Interfere with or disrupt the Services, or get around any security control, rate limit or usage limit.
  • Scrape, harvest or collect information from the Services by automated means without our permission.
  • Resell, sublicense or provide the Services to third parties unless we have agreed in writing.

2. TrackAll users

  • Keep your sign-in details private. Don't share your account; each person needs their own.
  • Give accurate information, and only add a mobile number that is yours or that you are authorized to use.
  • Only enter personal information about other people if you have the right to do so.
  • Don't copy, reverse engineer, or attempt to extract the source code of TrackAll, except where the law allows it.
  • Don't misuse verification codes or text messages (for example, requesting codes for a number that isn't yours). Text messaging is governed by our SMS Terms.

3. Managed IT clients

If we install, manage or support your network, devices, accounts or cloud services:

  • You are responsible for how your employees, contractors and guests use them, and for making them aware of this Policy.
  • Don't disable, bypass or remove security controls we have put in place (such as firewalls, endpoint protection, backups or multi-factor authentication) without talking to us first.
  • Keep software and service licenses current, and use licensed software only.
  • Tell us promptly about suspected security incidents, lost or stolen devices, and departing staff who need access removed.
  • You authorize us to access the systems covered by your agreement to perform the work you request and to protect them, including monitoring and maintenance described in that agreement.

4. Website and contact form

  • Use the contact form only for genuine inquiries. Don't submit automated, bulk or misleading messages.
  • Don't attempt to probe, overload or attack the website.

5. How we use AI tools

AI tools are an essential part of how we work. We use AI-assisted tools, including Claude Code by Anthropic and ChatGPT by OpenAI, to help write, review and test software (including TrackAll) and to assist with research, documentation and technical work. We hold ourselves to these rules:

  • People are responsible. A JT Networx team member directs and reviews all AI-assisted work and is accountable for it. AI tools do not make decisions about you or your account.
  • No secrets in AI tools. We do not enter passwords, API keys, recovery codes or other credentials into AI tools.
  • Minimum data. When developing and testing we use sample data wherever possible. We share client information with an AI tool only when it is needed for work the client has asked for, and only as much as is needed.
  • No training on our sessions. Our AI accounts are set up so that our conversations and coding sessions are not used to train the providers' models. Information processed by an AI provider is handled under that provider's terms and privacy policy.
  • No AI in TrackAll without notice. TrackAll does not send your data to AI services. If we add a feature that does, we will update our Privacy Policy before it processes your data.

If you would prefer that your information is not processed with AI tools as part of work we do for you, tell us at support@jtnetworx.com and we will agree on an alternative.

6. Where information is stored

  • We store business records and correspondence with established cloud providers, including Google Workspace for email and documents, and we host software source code with a private source code hosting service.
  • Credentials we hold for clients are kept in end-to-end encrypted password managers, never in email, documents, text messages or AI tools.
  • Access is limited to JT Networx personnel who need it, and our accounts are protected with multi-factor authentication.
  • Our providers encrypt data in transit and at rest. The providers that process personal information are listed in our Privacy Policy.
  • For security reasons we do not publish details of our internal security tools and configuration. Clients with a service agreement can ask us which providers process their information.

7. Security and credentials

  • We will never ask for your password by email, text message or phone. If someone claiming to be JT Networx does, don't share it; contact us at (409) 926-6262.
  • When we need access to a system, we use a secure method agreed with you, and we remove access we no longer need.

8. Reporting problems

Report suspected violations of this Policy, security vulnerabilities or abuse to support@jtnetworx.com. Please give us a reasonable time to fix a vulnerability before disclosing it, and don't access or change data that isn't yours while investigating.

9. Enforcement

If we reasonably believe this Policy has been violated, we may investigate, remove content, suspend or end access to any of the Services, and report unlawful activity to the appropriate authorities. Where we can, we will tell you first and give you a chance to fix the problem, but we may act immediately to protect the Services, our clients or others. You are responsible for losses we suffer because of your violation of this Policy, to the extent permitted by law.

10. Changes

We may update this Policy. We will change the effective date above, and for significant changes we will notify account holders and clients. Continued use of the Services means you accept the updated Policy.
